The process begins when a client’s HR team uploads applicant cases through our secure BGV portal. Teams can upload cases individually or use the bulk upload facility for multiple applicants at once. At this stage, the client also selects the verification checks required for each applicant based on the role, seniority level, and their internal requirements. Once the case is created, the applicant is invited to begin their part of the process through a secure link, and the verification workflow is set in motion.
Applicants receive a secure link that lets them initiate their own BGV process online. Through this link, they digitally submit personal, education, employment, and other required details, and upload supporting documents directly to the portal. There is no need for physical paperwork or in-person submission. If anything is missing or unclear during review, our team reaches out to the applicant to request the additional information or documents, so the case can move forward without unnecessary delays.
Every submission goes through a document validation stage before any verification begins. Our team reviews the documents for completeness, consistency, and suitability for the checks selected. We also cross-check the information in the documents against the details the applicant entered in the BGV form. If anything is missing, unclear, or insufficient, we flag it and request the applicant to provide what is needed. Once validated, the case is allocated to the respective verification teams for each check.
Our verification coverage includes education, employment, address, identity, and reference checks, along with criminal and court record checks, UAN and employment-related checks, bank statement verification, professional qualification and license verification, and directorship or organization association checks. We also support right to work checks, other client-specific requirements, and international background screening for applicants with overseas history. The exact combination of checks for each applicant is defined by the client at the case upload stage, based on the role and their policy.
Both, depending on what the check and location require. Wherever available, we verify online through official sources, institutional portals, and authorized channels, along with official email-based verification. Physical verification is carried out where digital verification is not possible or where the client specifically requires it, such as certain address checks. The methodology for each check is selected according to the nature of the check and the geography involved, so the approach stays practical without compromising on authenticity.
Follow-ups are a structured part of our workflow, not an afterthought. We follow up with universities, previous employers, institutions, and other authorized sources on a defined schedule, and escalate with re-follow-ups when responses stay pending. If the delay is on the applicant’s side, such as a missing document, we follow up with the applicant directly. All follow-up activity is tracked within the workflow, so clients can see exactly where a case stands and why, rather than waiting in the dark.
Every case goes through a dedicated quality review before closure. Verification findings are documented with supporting information, and any exceptions, discrepancies, or insufficiencies are clearly highlighted rather than buried in the report. Reports follow standardized formats designed for HR and compliance teams, and we can also support client-defined report formats and workflows where needed. This review layer exists to catch gaps before the report reaches you, so the findings you act on are documented and consistent.
Yes. Our portal provides case-wise status tracking as well as check-wise progress monitoring, so you can see each individual check within a case. Cases are visible across pending, initiated, and completed stages, and reports can be downloaded directly from the portal once ready. The portal also supports MIS and management reporting for teams that need consolidated visibility across their entire caseload, which is particularly useful during bulk hiring cycles or audits.
Discrepancies are documented in the report with supporting information rather than simply flagged as a failure. Our quality review process highlights exceptions, discrepancies, and insufficiencies clearly so HR and compliance teams can evaluate them in context. Insufficiencies are raised strictly in line with defined verification processes and client requirements, which keeps unnecessary follow-ups to a minimum. The final decision on how to act on any finding always rests with the client, based on their internal policy.
Yes, the platform offers API integration capabilities for enterprise workflows. This allows case initiation, status updates, and reporting to connect with your existing HR or onboarding systems instead of running as a separate manual process. Alongside API integration, clients also get portal-based access with real-time tracking, report downloads, and MIS reporting. For teams that prefer client-defined report formats and workflows, we can support those as well, so the process fits your setup rather than the other way around.
